Student Worker Handbook
Welcome to the NDSU Library! We are pleased to have you join the
staff and hope that you will find your employment with us challenging
and rewarding. You are an asset to the Library and we could not
operate the facilities without your help.
The Library provides access to and assistance in the use of the
scholarly resources needed to meet the education, research and service
missions of the University. We build, organize, maintain and preserve
collections, as well as advise, instruct and educate our patrons
in the use of these resources.
The NDSU Library plays an important role within the University,
and we strive to provide quality service. As a student assistant
in the Library you have accepted the responsibility to provide excellent
service and to represent the Library in the best possible manner.
Every Library employee is involved in the effort to maintain high
standards of service. Courtesy, accuracy and helpfulness are primary
obligations of every employee.

in both virtual and physical dimensions.
Getting started
1. After being hired at the Library, the first step in employment
is paperwork! Be sure to fill out the Employee NDSU Hiring Form:
Employee Data, the Information on Criminal Disclosure Form, read
and complete the Annual Notice of Policies & Workforce Safety
and Insurance Notices, the lower section of the W-4, read and complete
the Waiver of Retirement and Health Insurance Participation &
HIPAA Notice of Privacy Practices form, the NDWR form if you are
a Minnesota resident, and the Direct Deposit Form. Your supervisor
can help you with this process.
2. More paperwork needs to be filled out in the Payroll Office
in Old Main Room 205. There, be sure to fill out Section 1 of the
I-9 form. This needs to be done early in the process so you can
receive your first paycheck on time. You will need to bring your
driver's license, school ID, or other photo ID, and your social
security card or certified birth certificate.
3. Student workers are required to complete the Baseline Safety
Training annually. It is available online at http://www.ndsu.edu/ndsu/police_safety/safety/Presentations.htm.
Print out the Baseline Safety Quiz and give it to your supervisor
when you have completed it.
4. Time worked is recorded on a time card. Print your name, student
ID number, department name, and pay period at the top of the card
(unless your department chooses to do this for you). Sign your name
on the line above the word "signature."
5. Use a different time card for each department you work in, regardless
of the number of times or the number of hours. If you work in more
than one department, you will receive one check for the total amount
earned each pay period.
6. Payroll periods run from the 1st - 15th of each month, and the
16th - the last day of the month. Payment is delayed by two weeks,
i.e. you get paid for hours worked during the first half of the
month at the end of the month. If the final day of the pay period
falls on a weekend or holiday, the last working day of the pay period
is payday.
7. You are encouraged to have your
paychecks electronically deposited. Paper checks and electronic
deposit receipts will be available in your department.
Basics of employment
There is a two-week probationary period for all new employees.
If there is a problem, talk to your supervisor about your options.
Your schedule is typically arranged at the beginning of each semester.
If you need to reduce your hours or quit, contact your supervisor.
Students are limited to working a maximum of 20 hours a week during
the semester, and up to 40 hours a week during holiday or interim
sessions. You might be able to continue working in your position
after your workstudy funds are expended.
You are entitled to a 15 minute paid break every four consecutive
hours worked. You are required to take a 30 minute break if you
work six or more consecutive hours and you must check out on your
timecard for this break. Please be sure to notify your supervisor
when you leave for a break. The Main Library Staff Lounge is available
for use during your breaks. You may use the lounge only while on
duty.
Employee evaluations are completed
on a regular basis for each student worker. The evaluation is included
in your file in the Library Administration Office. You have access
to your file and may view it upon request.
General Considerations
Professionalism is required by all employees. This includes punctuality,
respect, appropriate behavior. Remember that this is a job. Be neat,
clean, and dress appropriately. You should not entertain your friends
while on duty and you may have to remind them you are working.
Cell phones must be turned off
during working hours. Department telephones, photocopiers, and printers
are intended for library business only.
Emergencies
Be sure to read and be familiar with the Library
Emergency Manual.
In case of a fire, pull the nearest
alarm and leave the building by the closest exit and stay at least
50 feet from the building. After evacuating, employees from the
Main Library should gather in front of the South Engineering building.
