Function Statement and Guidelines

Function
This team is a sounding board and problem solving committee for circulation issues. The Branch Libraries and the Main Library have many similar procedures and duties and the team, as a cohesive group, works for the betterment of circulation processes to serve all users.


Membership

Membership consists of 8 voting members: one member from Circulation, Annex, ILL, each of the Branch Library Managers, plus the Reference Associate and the Director of Public Services. A quorum of 5 voting members is needed to conduct business.


Officers and Duties

Elections are held at the June meeting. The facilitator is elected by the group for a two-year term. The secretary is elected annually.

The facilitator acts as the discussion leader and is responsible for distributing the meeting agenda via NDSULIB@listserv.nodak.edu. The facilitator also reserves a meeting room.

The secretary takes minutes at each meeting and distributes them on the listserv and the X-Drive.


Meetings

Meetings are held the third Wednesday of each month at 8:30 a.m. unless otherwise stated.

All meetings are open to other library staff, but they have no voting rights. Meetings are informal except when a decision is needed for the record.

Special committees are organized from among the members of the team and other interested library staff as needs arise. There are no standing committees.


Reports

In June, the facilitator prepares and distributes an annual report on the listserv and the X-Drive.
